What this website collects, why, who else handles it, how long we keep it, and your rights under the Protection of Personal Information Act (POPIA).

Who we are
CivicKind Technologies (Pty) Ltd is a social-impact technology company in Johannesburg, South Africa. We are the responsible party for the personal information this website collects. For anything in this policy, including requests about your information, email admin@civickind.co.za. That inbox also reaches our Information Officer.
This policy covers this website only. SafeClub, our nightlife safety platform, has its own website with its own privacy policy, and the SafeClub app explains its handling inside the app.
What we collect, and why
If you bring us an idea
- Your name and email address
- Your organisation or institution, if you give it
- What you tell us about the problem, who experiences it, your idea, and what would change if it worked
- Whether you would like us to contact you about it
Why: to consider your idea for research, development, collaboration or support, and — only if you said yes — to contact you about it. You choose to send it, and you can ask us to stop considering it and delete it at any time. We will not publish your personal information or your idea without your permission.
Please don't send confidential information, trade secrets, or sensitive personal information about yourself or anyone else — such as health, beliefs, or criminal history. If something like that reaches us by accident, we will delete it.

Why: to answer you, and to follow up on what you asked about.
If you email or phone us
We receive your email address or phone number and whatever you tell us, and use them to respond. The same applies if a form cannot send and you use your own email app instead.
What we do not collect
This website sets no cookies and uses no analytics, advertising or tracking tools. Reading the site gives us nothing about you.
Who else handles it
We never sell your information or share it for anyone else's marketing. If an idea leads to a collaboration, we will ask you before sharing your details with any partner. Three services are involved in running the website:
- FormSubmit (formsubmit.co) delivers what you send through our forms to our inbox. It is a third-party service and its servers may be outside South Africa, so your submission may be processed abroad on its way to us.
- Google Fonts. Each page loads the Inter typeface from Google, so, as with any website you visit, Google receives your IP address and browser details when the font is fetched. Google may process this outside South Africa.
- Our website host and email provider store the site and our inbox. Hosts keep standard technical logs — such as IP address, the page requested and the time — to run and secure the site. We do not use them to identify visitors.
How long we keep it
- Ideas: while we are considering the idea or working with you on it, and no longer than 24 months after we were last in touch about it. Then we delete it.
- Messages, emails and call notes: as long as we need to deal with them, and no longer than 24 months after the conversation ends.
If you ask us to delete your information sooner, we will — unless the law requires us to keep it, in which case we will tell you why.
How we keep it safe
Everything you send through this website is encrypted in transit (HTTPS). Submissions are kept in our team inbox, which only the CivicKind team can open. No system is perfectly secure; if we believe your information has been accessed without authorisation, we will tell you and the Information Regulator, as POPIA requires.
Your rights
Under POPIA you can:
- ask whether we hold information about you, and for a copy of it;
- ask us to correct it, or to delete it;
- withdraw your consent, or object to how we use your information;
- complain to the Information Regulator of South Africa at inforegulator.org.za.
To do any of these, email admin@civickind.co.za. It is free, and we will reply within 30 days. We may ask you to confirm the request comes from the email address we hold, so that nobody else can get your information.
Age
Our forms are meant for adults. If you are under 18 and have an idea, please ask a parent or guardian to send it with you. If we learn we hold a child's details without that, we will delete them.
Changes to this policy
If what the website collects changes, we will update this page and the date at the top before the change takes effect.
